Records Management Unit Overview

This unit is headed by one of the Supervising Administrative Officers of DHVSU who shall carry the title of Records Officer (RO). He/she is directly under the Director of Administrative Services under the cluster of the Vice President for Administration and Finance. The RMU shall be responsible in ensuring the adherence of DHVSU to the provisions of Republic Act No. 9470 otherwise known as the National Archives of the Philippines Act of 2007.

Functions, duties, and responsibilities

a. Serve as the official representative of the University to the National Archives of the Philippines;
b. Serve as the Chairperson of the Records Management Improvement Committee;
c. Devise and effectively implement plans, policies and procedures relative to the creation, maintenance and use, disposal administration and archive management of records throughout the University;
d. Facilitate meetings in consultation with higher authorities concerning records management;
e. Evaluate existing policies and identify areas needing improvement;
f. Conduct seminars, trainings and workshops in relation to records management;
g. Safeguard vital and permanent records of the University;
h. Monitor and supervise the effective implementation of the Records Disposition Schedule of the University;
i. Submit plans, performance targets, accomplishment reports and obtain customer satisfaction feedback;
j. Attend relevant seminars, webinars, trainings, meetings, and other activities that are necessary for the improvement of the University’s records management system subject to the availability of funds;
k. Monitor the attendance and supervise the performance of personnel under the unit;
l. Ensure compliance with the requisites of the Data Privacy Act of 2012 and ISO 9001- 2015 Quality Management System;
m. Adopt the 7S Principles in the unit; and
n. Perform other duties that may be required by higher authorities.
