Transportation Services Unit Overview

This unit is headed by a designated non-academic personnel who shall carry the title of Transportation Supervisor (TS). Directly under the TS are the mechanic and the drivers of the university.

Functions, duties, and responsibilities

a. Supervise the processing of all requests for the use of university vehicles;
b. Require approved travel orders from all requesting party;
c. Certify roadworthiness of vehicles prior to the approval of trip tickets by the University President or his duly authorized representative;
d. Deploy drivers and dispatch vehicles for official travels of officials and personnel, including students on a first come first served basis depending on the availability of vehicles;
e. Prepare and submit timely accident/incident reports to the ADMINSO Director;
f. Ensure the regular cleaning, disinfecting and maintenance of all university vehicles;
g. Attend seminars, webinars, trainings, meetings and other activities that are necessary for the improvement of the services of the unit;
h. Evaluate the performance of all the personnel in the unit;
i. Keep track of the yearly registration of vehicles including the maintenance of the minimum load balance of all vehicles with Radio Frequency Identification (RFID);
j. Recommend the procurement of new vehicles subject to the availability of funds;
k. Prepare office performance targets, evaluate performance of TSU personnel, and submit recommendations;
l. Obtain customer satisfaction feedback and validate complaints of passengers against erring drivers;
m. Prepare the Annual Repair and Maintenance Plan, including the Project Procurement Management Plan of the TSU;
n. Adopt the 7S Principles in the unit;
o. Submit recommendations for disposal of unserviceable vehicles; and
p. Perform other duties that may be required by higher authorities.
